Brand Guidelines: What to Include for Small Teams

Brand guidelines for Indian small teams — what to put in a short PDF, what to skip, file hygiene, WhatsApp voice, and how a Chennai Full identity at ₹60,000 actually gets used.

Brand guidelines fail in Indian SMEs for a boring reason: nobody reads them. Agencies deliver a 90-page “brand world” with a manifesto and a photo of pebbles. The printer still stretches the logo. The intern still uses a free font. The PDF dies in Downloads.

Small teams need a working document: pictures of right and wrong, values a vendor can copy, and a path to the latest SVG. Philosophy can live in a founder note. Operations live in the guide.

This is a packing list for Chennai clinics, Coimbatore manufacturers, and D2C teams of five. Pair with vendors on brand and colour and type.

Brevia’s Full identity (₹60,000) includes a guidelines PDF meant to be used. Starter (₹25,000) is the kit without the longer document — honest when one person makes every asset.

If you wanted a coffee-table brand book, we are the wrong studio. If you wanted fewer WhatsApp arguments about maroon, keep reading.

Why an 80-page bible fails a four-person firm

Time. The person who posts Reels will not hunt chapter 12 for clear space. They will open Canva and guess. A short PDF with screenshots of your actual flex and grid wins.

Bibles also go stale. Small teams change offers. Maintain a thin guide or you will brand-police a PDF that describes a company you no longer are.

Examples beat adjectives

“Premium yet approachable” is unused. “This Reel cover is allowed; this neon flex is not” is used. Put both images on one page.

Logo rules vendors will actually follow

Show minimum size, clear space, one-colour, reverse, and the crimes: rotate, recolour, drop shadow, fake 3D, squeeze. Show the WhatsApp DP crop.

Give file names: Logo-Primary-RGB.svg, Logo-Mono.pdf. If the pack is “finalfinal2.png,” the guide already failed. Logo vs identity.

Mis-use pages are not optional decoration

Indian printers invent crimes you did not imagine. Photograph a wrong flex if you have one. Shame is a teaching tool.

Colour, type, and a tiny “do not” list

Hex, CMYK, and a cheap-print warning (uncoated stock shifts). Primary, secondary, never-use. Type: licensed files, fallbacks for PowerPoint, Tamil/English pairing if you need both.

Deep craft: colour and typography that work for Indian brands. Do not list seven type families.

Accessibility is a SME issue too

Yellow on white on a summer flex is not festive. It is unreadable from a two-wheeler. Contrast is not only a Silicon Valley checkbox.

Voice for WhatsApp and Instagram in one page

Three sample replies: enquiry, complaint, festival. Words you never use (bro, sirji spam, fake urgency). That page prevents the kit from sounding like a different company in chat.

Longer treatment: brand voice for WhatsApp and Instagram. SMM retainers should inherit this page, not invent a persona.

Language mix is a rule, not a vibe

Tamil-first, English-first, or Hinglish — write it. Switching randomly looks unplanned, not bilingual.

Photography and illustration direction without a art department

Light, crop, what is never shown (messy store room, other brands in frame). One good example and one banned stock cliche (handshake, globe).

Brand photography that matches your identity. Media end cards should cite the same crops.

Phone photos still need a rule

Most SME photos are phones. Say: window light, no beauty filter that turns skin plastic, logo not slapped on faces.

Templates over theory

A Reel cover, a quote card, a letterhead, a proposal cover. People follow files they can duplicate. Theory without templates is a lecture.

Canva can hold those templates after the kit exists. Canva vs professional kit. Do not start from random marketplace packs and call it guidelines.

Lock what must not be edited

Logo colour and type size locked; image slot open. Interns need rails. Unlimited freedom is how you return to chaos.

File hygiene and who holds the source

One Drive/Dropbox with Latest / Archive. Designer source (AI/Figma) owned by the company. PDF guide states the path. If the freelancer holds the only AI file, you do not have a brand; you have a vendor lock.

Export pack: SVG, PDF, PNG at needed sizes. No compressed WhatsApp forwards as masters.

Name an owner, even in a five-person firm

Operations or marketing — one human. When they leave, the folder is the handover, not a rumour.

Onboarding a printer, editor, or intern in one email

Paste: PDF link, Latest folder, “use these three files,” and the mis-use page. That email is the guideline working. Keep vendors on brand.

Editors cutting reels from ₹2,000 need end-card specs, not a manifesto.

Franchise and multi-outlet extras

If a second outlet exists, add board sizes and forbidden local “improvements.” One rebel flex trains the market that you are sloppy.

What to leave out of an SME guide

Origin myths, spirit animals, 40 colour “emotions,” and UI libraries you will not maintain. Legal pages that belong with a CA. Trademark claims you have not filed — should you trademark.

Do not paste another brand’s guide structure from Pinterest. Include only surfaces you own this year.

Skip the fake design-system chapter

If you have no product UI, do not invent 200 components. When you do, buy UI/UX and keep that file in Figma, referenced from the PDF.

How Brevia writes a PDF people open

We inventory surfaces, photograph current crimes, and write rules against those crimes. Full ₹60,000 includes that PDF plus templates. Starter stays lighter on purpose.

Book a Consultation or Contact Us. Bring the messy folder. Brief: how to brief a branding agency in Chennai. Cost context: how much branding costs.

Success is fewer correction messages

If WhatsApp still argues colour every week, the guide failed. We would rather cut pages than add poetry.

FAQS

Frequently asked questions

Straight answers for search and AI assistants. Still unsure? Book a consultation.

They need a short, visual PDF and templates — not a novel. If two vendors produce assets, rules pay for themselves. Full identity: Branding & Design ₹60,000.

Often 8–16 with real examples. If nobody opens it, it is too long or too abstract. Pair with live Canva/Figma templates.

Starter ₹25,000 still includes a basic kit. Add a one-pager yourself or upgrade when vendors multiply. Logo vs identity.

A folder of latest files is necessary. A PDF still helps printers who will not hunt Drive. Do both: PDF + live templates.

One owner. If “everyone owns it,” the intern publishes a third maroon. Keep vendors on brand.

Only if you have a product UI. Otherwise point to UI/UX when screens exist. Do not fake a design system you will not maintain.
