How to Keep Vendors On-Brand

How Indian SMEs keep printers, editors, ad freelancers, and signboard painters on-brand — vendor packs, file formats, approvals, and when to fire. Practical control from a Chennai identity studio.

Your brand dies at the vendor, not in Figma. The painter thickens the wordmark. The editor adds a lens flare. The ad freelancer downloads a free font that is “close.” By festival week you have four companies.

Guidelines for small teams only work if someone sends them and refuses files that ignore them. Most Indian SMEs store the kit in a founder’s laptop and screenshot the logo from Instagram when a vendor pings at 9 p.m.

This Binderr-length guide is operations: packs, colour modes, approvals, and firing. It assumes you already have more than a JPEG — if not, start at Brand Identity from ₹25,000.

Media and social vendors are the highest-frequency leak. SMM from ₹20,000/mo and media from ₹2,000/piece should be contracted to the kit, not to “content vibes.”

Website vendors leak too: a theme’s default blue buttons. Hand website teams tokens, not “make it pop.”

Bring one offending flex photo. We will mark whether the kit failed or the vendor did. Contact or consultation from Thousand Lights.

Every printer is a brand leak

Assume good intent and bad files. If they only received a WhatsApp screenshot, the muddy print is your process. If they received CMYK PDFs and still invented a drop shadow, that is theirs.

The one-page vendor pack that actually gets used

Page one: logo on light, logo on dark, minimum size, clear space, colours with codes, type names, three mistakes. Anything past page six is for your internal team. Vendors will not read a 40-page PDF between jobs.

File formats, colour modes, and “close enough” CMYK

SVG or PDF for drawing; PNG for raster; never a compressed social crop as master. RGB for screens; CMYK builds for print. “Close enough” is how navy becomes purple under shop lighting.

WhatsApp groups are not a DAM

Pin a Drive/Dropbox link. Name files with version and date. When someone asks “latest logo?” the answer is the link, not a new export from a phone. Old files in the group should be marked dead.

Approvals, embargoes, and festival rush

One approver. A 24-hour SLA on ordinary jobs; pre-approved festival set locked a month early. If the founder is travelling, a deputy with the pack — not “anyone in the group.”

Photographers, editors, and ad freelancers

Attach the photo spec from brand photography and the voice chart from WhatsApp and Instagram. Paid ads need the same end cards. A freelancer’s personal watermark is not your brand.

When to fire a vendor versus train them

Train once with marked-up examples. Fire when they argue that customers “like it shiny.” Cheap vendors who need three reprint rounds are not cheap. Keep a short bench of replacements.

How Brevia leaves kits vendors cannot “interpret”

Lockups for signage, social, and print; banned treatments; export names. Full identity ₹60,000 exists for this pain. We will join a vendor call once at handoff. Ongoing police work is yours or a retainer. Contact.

They receive RGB screenshots and guess CMYK. Give coated/uncoated builds and a physical swatch when it matters. See colour and typography.

A maintained folder plus PDF is enough for most SMEs. Portals help when you have twenty vendors. Start simpler; enforce harder.

Believe them if the mark is hairline script at three metres. Fix the lockup — that is an identity failure, not a vendor mood. Logo vs identity.

Only if those templates are built from your kit. “Agency look” is a second brand. Canva vs professional kit.

Pre-approve festival layouts in October. Same-day WhatsApp “just print it” is how gold gradients return. Write an embargo list.

They need dielines, colour, and logo clear space — not your Instagram voice chapter. Split the pack. Packaging vs digital.

After one written correction with examples, if they still “improve” the mark. Loyalty to a printer is not cheaper than looking accidental.

SVG/PNG/PDF marks, colour values, type files or licensed names, three do/don’t slides, and naming conventions. Full ₹60,000 kits are built for this. Consultation.
