How to Brief a UI/UX Designer in India

How to brief a UI/UX designer in India: jobs, screens, brand files, constraints (UPI, WhatsApp, GST), decision rights, and a one-page template Indian SMEs can send before a Chennai kickoff.

Indian UI/UX projects stall on the brief, not on Figma skill. The client sends “like Apple, but for spices” and a ZIP of mismatched logos. The designer invents a product. Three weeks later nobody agrees what a screen is for. You do not need more talent. You need a page that can be estimated.

A good brief is a filter. It tells a Chennai team whether this is a 12-screen pack or a product that needs three slices. It also tells you whether you are hiring UI, UX, branding, or engineering by accident.

This guide is a template you can paste into email or Notion. It is written for SME owners — clinics, manufacturers, SaaS, D2C — not for a 40-person design ops team.

Brevia will not start high-fi without jobs and a screen list. The UI/UX Design Pack is ₹50,000 OTP from Chennai for ~12 screens. Branding from ₹25,000 if the kit does not exist.

If you are still choosing who to hire, read agency vs freelancer with this template in hand so quotes are comparable.

The one-page brief that saves two revision rounds

Write: who the user is, what they must complete, on which device, in which language, and how you will know it worked (bookings, paid orders, qualified WhatsApps). Add constraints: COD, UPI, GSTIN, Tamil, field staff phones.

If you cannot fill that, you are not briefing a designer. You are asking them to found the company in Figma.

Users, jobs, and success in numbers

“Parents of 6–10 year olds in Adyar book a trial in under two minutes” is a brief. “Gen Z friendly UI” is a vibe. Numbers let you test. Related research: small-budget UX research.

Screens, not “make it premium”

List the frames: Home, Service, Doctor, Book, Confirm, Success, plus empty and error. Cap at what you will pay for. Our pack is ~12 high-fi screens. Extra lists are extra money — see UI/UX cost.

Mark which screens are must-ship vs nice. Designers should not high-fi the Careers page first.

Assets you must attach on day one

Logo SVG, colours, type, existing site, product photos, legal lines, and a sample GST invoice if checkout exists. Real content beats lorem. If photos are missing, say you will use placeholders and when real ones arrive.

Analytics export or even a WhatsApp forward of common questions is gold. Designers cannot invent your FAQs accurately.

Competitors and anti-references

Three likes with reasons. Three hates with reasons (“too many pop-ups,” “cannot find price”). Anti-references stop a Chennai team from copying a US SaaS dashboard onto a kirana brand.

Do not demand a clone of a funded product you cannot staff. You will approve the mock and fail the build.

Brand kit vs inventing in Figma

If the logo changes every week, pause UI. Buy branding from ₹25,000. UI that chases a moving logo is paid churn.

Decision rights and review cadence

One approver. Scheduled reviews, not emoji reactions at midnight. Cap visual directions at two. Wireframe approval before colour: wireframes vs visuals.

Name the developer who will receive the file. If there is none, you are buying a prototype for fundraising or ads, not a build spec — and that is fine if you say so: prototype vs finished UI.

What Indian freelancers still need in writing

Revision cap, file ownership, GST invoice, and weekday hours. Verbal “unlimited changes” is how both sides feel cheated. Same brief, tighter commercial box. Hiring: agency vs freelancer.

Do not pay 100% up front for an unnamed file. Do not pay 0% until “final” if you keep moving the screen list.

The Brevia discovery call

We will challenge extra screens, WhatsApp vs form, and web vs app. Then we confirm the ₹50,000 pack or a larger slice. Engineering can follow on website or Next.js.

FAQS

Frequently asked questions

One to two pages plus attachments. A 30-page “brand book” with no screen list is homework, not a brief. Screen inventory matters more than adjectives.

Say so. Budget brand identity from ₹25,000 before high-fi UI, or accept that the designer will invent a look you may throw away.

Send two or three with a sentence each: “clear price,” “simple booking.” A 40-link moodboard is how you get a collage. Visual-first risk: wireframes vs visuals.

Include what you already know: support tickets, WhatsApp FAQs, drop-off guesses. If you know nothing, schedule small research: UX research on a small budget.

The brief should be the same. Cadence and backup change. Read agency vs freelancer.

The person who can say no to extra screens, plus someone who talks to customers. Design-by-committee on WhatsApp after kickoff is how packs overrun.

Screen list, brand files, analytics if any, and whether web, app, or both. Floor: ₹50,000 OTP. Consultation to sanity-check the list.
